1. The agreement, in plain terms
This is the agreement between your nursing home (“the home”) and Alderidge Fusion Limited, trading as fairdeal.ie, company number 816930, registered office 27 Castlesize Drive, Sallins, Co. Kildare, W91 Y9E8 (“we”, “us”). It applies from the day your home is switched on at www.fairdeal.ie/home, and it is accepted by the member of staff who asks us to set the home up and by every member of staff who signs in.
What we provide
- A dashboard at www.fairdeal.ie/home for your home, with sign-in by emailed code for the staff you name.
- For every family you set up: the fairdeal.ie full service, as described at www.fairdeal.ie/apply, at no charge to the family. That is the personalised step-by-step pack, the official HSE form filled in from plain questions, the online checklist with weekly reminders, and the ready-made request letters.
- Progress for each family on your dashboard (stage, documents gathered, dates), a Monday email if you want it, and a monthly statement with results so far this year.
- A list on your dashboard for residents whose families are applying another way, so every resident is in one place.
- Help by email and phone on working days.
What the home agrees to
- Only staff who work at the home sign in, each with their own work email address. Tell us when someone leaves so we can remove their access.
- Before setting up a family, tell them that the home has arranged help with the Fair Deal paperwork through fairdeal.ie, an independent service, and that the home will be able to see how the application is progressing but not any financial details. The family confirms this themselves when they open their link.
- Do not type a family’s income, savings or PPS numbers into fairdeal.ie on their behalf. The family does that part on their own device.
- Use what you see on the dashboard only to support the resident and their family with the application.
The fee
- €75 a month including VAT, covering every family you set up, from the month you set up your first family. There is no set-up fee and no minimum term.
- €75 is the founding rate for the first 50 homes. A home that joins at the founding rate keeps it for as long as it stays with us, whatever we charge new homes later. If we ever change a rate that applies to your home, we give at least 60 days’ notice by email, and you can end the agreement before it takes effect.
- A statement is emailed on the 1st of each month to the contact email on your dashboard, listing the families set up that month and the results so far this year. Payment is due within 14 days.
- Either side can end the agreement at any time by email. Families already set up keep their service until their application is decided.
What we do not do
- We are not the HSE and we do not decide applications. We prepare paperwork; the HSE assesses and approves.
- We do not give legal, tax or financial advice to families or to the home.
- We never pay the home a commission or a referral fee, and we never ask a family for money when the home has set them up.
If the HSE changes the form
When the HSE changes the application form, we update the service and send every family with an open application the current version at no extra charge.
Liability
We take care to get the paperwork right, but the application, the decision and the dates are the family’s and the HSE’s. Our total liability to the home under this agreement in any year is limited to the fees the home paid us in that year. Nothing here limits liability that cannot be limited by law.
Law
This agreement is governed by the law of Ireland.
2. Data protection summary, on one page

Who is the controller?
For the family’s information, fairdeal.ie (Alderidge Fusion Limited) is the controller. The family gives us their information directly, under our privacy notice, and they agree to the home seeing their progress when they open their link. The home is a separate controller for what it enters on the dashboard: the resident’s first name, the family member’s email address or mobile number, and the names and stages on its own list. Neither side processes personal data on the other’s behalf, so no processor agreement is needed.
What the home gives us
- For each family: the resident’s first name and the family member’s email address or Irish mobile number. We use it only to send the invitation.
- For staff: name, role and work email address, used for sign-in and for the monthly statement.
- For the home’s own list: a first name, a stage and an optional short note. We ask you to keep notes short and factual.
What we collect from the family
- Their answers to the checklist questions about the applicant’s situation, which may include whether the applicant can sign for themselves. This may be health information; the family agrees to this when they start.
- Their email address, the first name of the applicant, and progress on the checklist.
- Never PPS numbers, income figures, bank balances or property values. Those stay on the family’s own device when they fill in the form or a letter with us.
What the home can see
Progress only: the stage (gathering documents, posted, approved), how many documents are ticked off, the dates, and whether a nudge may help. The home cannot see the answers to the checklist questions or any financial detail.
Where it is kept and who handles it
Data is stored in the European Union with our hosting provider (Supabase). Emails are sent through Resend and text messages through Twilio, both under standard data protection contracts. We do not sell information and we do not use it for advertising.
How long we keep it
- Unused invitations: deleted 90 days after they expire.
- A family’s tracker and progress: deleted 6 months after the family closes it, or 3 years after the last activity. The checklist answers are cleared 12 months after the service starts.
- Entries on the home’s own list: deleted 6 months after they are marked closed.
- Statements and fee records: kept for 6 years, as tax law requires.
- Staff sign-in records: removed when you tell us the person has left. Requests to set up a home that are never confirmed are deleted after 90 days.
Rights and requests
A family member can ask us at any time to see, correct or delete their information, by replying to any email from us or writing to derek@legacysteps.ie. If a family asks the home, pass the request to us and we will deal with it within one month. If we ever had a security incident involving a family you set up, we would tell the home and the family without undue delay.
Security
Staff sign in with a code emailed to their work address; there are no passwords to lose. Links and sessions are stored only as one-way hashes. All traffic is encrypted. Access to the database is limited to the people who run the service.
